Fluidwave vs Taskade: which should you use in 2026?

Taskade is project-first. Every project can be viewed as a list, board, table, mind map, Gantt chart, calendar or doc, and teammates can edit together in real time with chat and video calls alongside. Dependencies can be linked in the Gantt view, and recurring tasks stand in for habits. For a small team planning shared work, that flexibility is a real strength.

Fluidwave is task-first. Its views are Table, Card, Kanban and Gantt, with grouping by list, project, schedule, category, context, goal or assignee. Where it goes further is in deciding order: auto-prioritization ranks the list using 12 criteria you can reorder, such as overdue, quick wins, due dates, importance and goals, and the Active filter hides tasks you cannot work on yet. Taskade’s AI can categorize and prioritize tasks as they arrive through an automation step, but the list itself is not reordered.

Capture differs too. Taskade parses dates in its date picker; Fluidwave’s input bar parses a whole sentence into date, time, recurrence, priority and reminder. Fluidwave adds a typed Waiting status for a waiting-for list, habits with streaks, goals and intentions, and circular-dependency detection in its Gantt view. Taskade covers waiting with a tag or custom field and has no habit tracking.

Taskade has no email client. Gmail can trigger an automation, so a matching message can create a task, and an automation can chain an AI step with a Gmail send action. But you cannot read, reply to or archive email inside Taskade, and nothing summarizes or scores your inbox.

Fluidwave includes a full Gmail client: inbox, starred, newsletters, sent, drafts, spam and trash, labels synced two-way, compose and reply with attachments, and any number of Gmail accounts. Its AI triage works through the inbox one thread at a time, showing a summary, a priority score and a suggested action, and you confirm with one key: reply, task, archive, trash, unsubscribe or skip. A task made from an email stays linked to the thread, with chips on both sides. The Newsletters view supports bulk one-click unsubscribe using RFC 8058 links, and Teach Triage drafts an automation rule from a plain-English note about how you sorted a message.

The limitation is that Fluidwave’s email is Gmail only. If your mail is in Outlook or another provider, Taskade’s Gmail triggers will not read it either, so on that front the two are equal; on Gmail, Fluidwave is far ahead.

Taskade shows tasks with start and due times on a calendar view, and two-way Google Calendar sync is available on upgraded workspaces. There is no session-level time blocking: you cannot resize a block or split one task across several slots, and nothing packs tasks into free time for you.

Fluidwave’s calendar has day, week and month views with an Unscheduled tasks panel beside them. Drag a task onto the grid to plan it, drag its edges to resize, or split it into multiple sessions with the remaining minutes tracked. AI scheduling runs in two modes: an instant one that packs the visible tasks into free time in prioritized order, and a Claude-powered one that reads task names and context when ordering and splitting sessions. Both respect working hours and leave breaks around events, and suggestions render dashed until you confirm them one by one or all at once.

Fluidwave reads your Google Calendar only to find free time and writes back only the sessions you choose to sync, across multiple accounts with per-calendar visibility toggles. Google Calendar is the only calendar provider today, and the sync is included on every account rather than gated behind an upgrade.

This is where Taskade is strongest. Its automation builder has triggers, conditions and actions across 100+ apps, including Gmail and Slack, and its AI agents can create, edit and organize tasks in chat. The catch is pricing: AI usage is metered in credits on every plan, the free plan’s 6,000 credits are one-time, and the free workspace allows one agent and three automations. The MCP server is on paid plans only.

Fluidwave’s visual automation builder is narrower in reach but deeper on email and tasks. A node canvas links a trigger (an email arrives, a task changes) to a condition with Matches and Otherwise branches and then to actions like archive, label, set priority, convert to task, update status, set due date or add a project. An AI reply step drafts or sends a response from plain-English instructions. Live preview shows what a rule would match before you save, a backfill applies it to existing items, and the builder flags contradictory or overlapping rules.

The chat assistant has roughly 110 tools, works by voice, and every change it makes can be undone. The Claude MCP connector with 23 tools and the public REST API are included for everyone, with no credits to track.

Taskade’s free plan covers tasks and projects with one workspace, one agent, three automations and a one-time allowance of AI credits. Pro is $10 per month billed annually, roughly double month to month, and AI credits remain the real unit of cost on every tier. Fluidwave is free forever, with no subscription, no credit card and no metered AI.

Taskade wins on platform reach: web, macOS, Windows, Linux, iOS and Android. Fluidwave runs on the web, as a macOS app and on iOS and Android, with Windows and Linux desktop apps still coming, and is available in 16 languages.

Offline is a clear difference. Taskade’s mobile apps are read-only offline, and its desktop and web apps need a connection. Fluidwave is offline-first: tasks and synced email live in a local cache, so you can keep working without a connection and changes sync when you reconnect.

On privacy, Fluidwave states that nobody at the company reads your email, that full message bodies and attachments are never stored and are fetched from Gmail only when you open them, that Google tokens are encrypted with AES, and that email is never used to train AI models, sold or used for advertising. Claude is its only model provider.
