Fluidwave vs Motion: which should you use in 2026?

Both apps cover the basics well: projects, subtasks, recurring tasks, dependencies, Kanban boards and a calendar view. Motion adds team capacity planning and, on its Business AI tier, timeline and Gantt views. Fluidwave includes a Gantt chart with day, week and month zoom and circular-dependency detection on every account, plus Table, Card and Kanban views.

The bigger difference is how each app orders your list. Motion prioritizes by scheduling: it decides when each task happens and shows you the resulting day. Fluidwave prioritizes the list itself using 12 criteria you can reorder, such as overdue, quick wins, due dates, importance and goals, and its Active filter hides anything you cannot work on yet, including tasks with a future start date and tasks in a Waiting status. If you rely on a waiting-for list, Fluidwave has a typed Waiting status (waiting on a call, email or message); in Motion you approximate it with the Blocked status.

Capture also differs. Motion’s task form parses dates, and richer parsing needs AI Chat. Fluidwave’s input bar parses a full sentence such as “Pay rent by noon on the last day of each month, critical, remind me one week ahead” into a date, recurrence, priority and reminder. Fluidwave also adds habits with streaks, goals and intentions, which Motion does not track.

This is the clearest gap between the two. Motion has no email client and no email triage. You can create a task from an email through the browser extension or Zapier, but the thread is not linked to the task, and reading, replying and archiving all happen in your mail app.

Fluidwave includes a full Gmail client: inbox, starred, sent, drafts, labels that sync two-way, compose and reply with attachments, and multiple Gmail accounts with no cap. Its AI triage walks you through the inbox one thread at a time with a summary, a priority score and a suggested action, and you confirm with one key: reply, task, archive, trash, unsubscribe or skip. Turning an email into a task keeps the thread linked, so the task and the email show chips pointing at each other. A Newsletters view handles bulk one-click unsubscribe using RFC 8058 links.

The caveat is that Fluidwave’s email is Gmail only. If your mail lives in Outlook or another provider, neither app will bring it into your task list today, and Motion’s Outlook calendar sync may matter more to you than Fluidwave’s inbox features.

Motion’s signature feature is continuous auto-scheduling. Every task gets an estimate, a deadline and a priority, and Motion places it on your calendar, then moves things around automatically as meetings land or deadlines slip. It syncs with Google, Outlook and iCloud calendars and is designed to keep a whole team’s plan balanced without anyone dragging blocks by hand.

Fluidwave’s AI time blocking is deliberately more hands-on. An Unscheduled tasks panel sits beside the day, week or month view; you drag a task onto the calendar, resize it, or split it into several sessions. When you want help, AI scheduling runs in one of two modes: a Claude-powered mode that weighs task names and context when ordering and splitting sessions, and an instant auto-prioritization mode that packs the visible tasks into free time in their ranked order. Both respect your working hours and breaks around events, and suggestions render as dashed blocks until you confirm them.

The sync model is also different. Fluidwave reads your Google Calendar only to find free time and writes back only the sessions you choose to sync. Motion runs your calendar as the source of truth. If you want a plan that rebuilds itself all day, Motion does that better; if you want a suggestion you can accept or edit, Fluidwave feels calmer.

Motion’s AI Chat can create and update tasks and projects, and its AI notetaker records meetings; both draw on a monthly credit allowance. Automation is project-shaped: workflow templates and automated task creation rather than a general rule builder. There is no official MCP server, although community-built ones exist.

Fluidwave’s chat assistant covers around 110 tools, from creating and bulk-updating tasks to scheduling sessions, triaging email, toggling automations and switching views, and every AI action can be undone with Cmd+Z. It also works by voice. The visual automation builder is a node canvas with triggers (an email arrives, a task changes), conditions with Matches and Otherwise branches, and actions on both email and tasks, including an AI reply step that drafts or sends a response from plain-English instructions. Live preview shows the matching items before you save, and the builder flags rules that conflict with each other.

For agent workflows, Fluidwave ships an official Claude MCP connector with 23 task and list tools and a public REST API with OAuth. If you already manage work from Claude, that is a practical advantage over Motion today.

Motion has no free plan. Pro AI starts at $19 per month billed annually or $29 month to month, the 7-day trial requires a card, and AI usage is metered in credits. Gantt and timeline views sit on the Business AI tier. Fluidwave is free forever with no subscription and no credit card, and there is no separate AI add-on.

On platforms, Motion offers native apps for macOS, Windows, iPhone and Android. Fluidwave runs on the web, as a macOS desktop app, and on iOS and Android, with Windows and Linux desktop apps still coming. Fluidwave is available in 16 languages.

Fluidwave is offline-first: your data lives in a local cache, so you can read and edit tasks and email on a plane and everything syncs when you reconnect. Motion requires a connection.

On privacy, Fluidwave states that nobody at the company reads your email, that full message bodies and attachments are never stored and are fetched from Gmail only when you open them, that Google tokens are encrypted with AES before they reach the database, and that email is never used to train AI models, sold or used for advertising. Anthropic’s Claude is the only model provider.
