Fluidwave vs Akiflow: which should you use in 2026?

Akiflow’s model is an inbox plus a calendar. Tasks arrive from Gmail, Slack, Notion, Todoist, Asana, ClickUp, Jira and other tools, you tag and schedule them from the command bar, and daily rituals guide planning and shutdown. It is fast and pleasant to use from the keyboard, and its natural-language dates are excellent. What it does not do is decide order for you: priorities and labels are manual, and there are no dependencies, boards, Gantt view or habit tracking.

Fluidwave is also keyboard-first (J and K to navigate, C to complete, Cmd+K for a new task, slash to search, Cmd+Z to undo anything), and its input bar parses a whole sentence into date, time, duration, recurrence, priority and reminder. The difference is that Fluidwave then orders the list for you. Auto-prioritization ranks tasks using 12 criteria you can reorder, such as overdue, quick wins, due dates, importance and goals, and the Active filter hides future-start tasks, tasks outside their schedule and anything waiting on someone else. A typed Waiting status gives you a real waiting-for list, where Akiflow suggests a label or a snooze.

Fluidwave adds Table, Card, Kanban and Gantt views, subtasks and dependencies with circular-dependency detection, and habits with streaks, goals and intentions. If you need structure beyond a flat list, Fluidwave has more of it.

Akiflow treats email as a source of tasks. Gmail messages can become tasks in the Akiflow inbox, which is convenient for planning, but the flow is one-way: you cannot read the full thread, reply or archive inside Akiflow, so your mail client stays open all day.

Fluidwave includes a full Gmail client. Inbox, starred, newsletters, sent, drafts and labels are all there, with compose, reply and reply-all, attachments, and any number of Gmail accounts. AI triage takes you through the inbox one thread at a time with a summary, a priority score and a suggested action; you confirm with one key: reply, task, archive, trash, unsubscribe or skip. A task made from an email stays linked to the thread with chips on both sides. The Newsletters view supports bulk one-click unsubscribe, and Teach Triage turns a plain-English note about how you sorted a message into a draft automation rule.

The caveat is that Fluidwave’s email is Gmail only, and Akiflow can also consolidate Slack messages and tasks from other tools. If your inbox is in Outlook, neither app will let you triage it, and Akiflow’s wider set of sources may be the deciding factor.

Time blocking is Akiflow’s core. Drag tasks from the inbox onto the calendar, set durations from the command bar, and let two-way Google and Outlook sync keep everything aligned. Aki AI can plan your day on request, although it does not continuously reschedule like Motion or Reclaim.

Fluidwave’s calendar covers day, week and month views with an Unscheduled tasks panel alongside. Drag a task onto the grid, resize it, or split it across several sessions with the remaining minutes tracked. Its AI scheduling runs in two modes: an instant one that packs the visible tasks into free time in prioritized order, and a Claude-powered one that weighs task names and context when ordering and splitting sessions. Both respect working hours and leave breaks around events, and suggestions render dashed until you confirm them.

The sync model differs. Fluidwave reads your Google Calendar only to find free time and writes back only the sessions you choose to sync, per session or all at once, across multiple accounts. It supports Google Calendar only, so Outlook calendar users should stay with Akiflow. If you already estimate durations and want the app to place everything by priority in a click, Fluidwave’s instant mode is the faster path.

Aki AI is a capable assistant for capture and daily planning, and Akiflow’s scheduled AI workflows can send summaries and check-ins. There is no trigger, condition and action rule builder, so anything beyond those workflows runs outside the app. Akiflow does ship an official MCP connector for managing tasks from Claude.

Fluidwave’s chat assistant covers roughly 110 tools, from creating and bulk-updating tasks to scheduling sessions, triaging email, toggling automations and switching views, and every change it makes can be undone. It also works by voice. The visual automation builder is a node canvas with triggers (an email arrives, a task changes), conditions with Matches and Otherwise branches, and actions on both email and tasks, from archive, label and set priority to update status, set due date and add a project. An AI reply step drafts or sends a response from plain-English instructions. Live preview shows what a rule would match before you save, a backfill applies it to existing items, and the builder flags contradictory or overlapping rules.

Both apps connect to Claude through MCP. Fluidwave’s Claude MCP connector exposes 23 task and list tools and sits beside a public REST API with OAuth.

Akiflow starts at $19 per month billed annually and $34 month to month, with a 7-day trial and no free plan. Fluidwave is free forever: no subscription, no credit card, no AI add-on.

Akiflow has apps for macOS, Windows, Linux, iPhone and Android. Fluidwave runs on the web, as a macOS app and on iOS and Android, with Windows and Linux desktop apps still coming, and it ships in 16 languages.

Offline is a meaningful difference. Akiflow’s desktop app tolerates short connection drops, but full offline editing is not supported. Fluidwave is offline-first: tasks and synced email live in a local cache, so you can keep reading and editing on a flight and everything syncs when you reconnect.

On privacy, Fluidwave states that nobody at the company reads your email, that full message bodies and attachments are never stored and are fetched from Gmail only when you open them, that Google tokens are encrypted with AES before they reach the database, and that email is never used to train AI models, sold or used for advertising. Claude is the only model provider.
