Why people look for a Notion alternative

Notion is one of the best places to keep notes, wikis and docs, and its free plan is unlimited for a single user. The trouble starts when it becomes your task manager, because in Notion tasks are a database you assemble yourself, and what you assemble you also maintain.

  • No task features come built in. There is no native prioritization, no waiting list and no habit tracking; you build them from properties, views and templates.
  • Email left the workspace. Notion Mail, a Gmail-only client, was discontinued on 22 September 2026, and with it the AI drafting and auto-labels. There is no native Gmail action now.
  • The calendar does not write back. Notion Calendar shows Google events beside your databases, but database items do not sync into Google Calendar.
  • Full AI is expensive. Notion AI needs Business at $20 per member per month; Free and Plus get a limited trial. Database automations need Plus or above.
  • Offline is partial. Desktop and mobile cache pages you mark for offline for up to 72 hours, and the web app needs a connection.

What to look for in a Notion replacement

Be clear about which half of Notion you are replacing. If you are keeping Notion for notes and docs and only moving tasks out, you want a focused task manager. If you want to leave entirely, you need something with a docs layer, which narrows the field to ClickUp, Taskade and to a lesser extent Asana.

For the task side, look for:

  • Structure that ships with the app. Priorities, a waiting status, habits and recurring tasks that work without a template.
  • A calendar that writes back. Drag-to-calendar time blocking with a Google Calendar sync that puts sessions on your real calendar.
  • An answer for email. Since Notion Mail is gone, decide whether you want email read and triaged inside the task app or are happy keeping Gmail separate.
  • Offline you can trust. Full editing on every platform, not a per-page cache.

We ranked by how much task-management structure each tool provides out of the box, since that is what most people leaving Notion are missing, then by email and calendar handling, AI pricing, offline support and the usefulness of the free plan. Docs and wiki coverage counted, but as a secondary factor, because many people keep Notion for notes even after moving their tasks.
