Alternatives

The best Taskade alternatives in 2026

Taskade bundles AI agents, docs and automations into a team workspace, and its credits are the real price. These six alternatives cover solo lists, AI planners and full project tools.

Updated September 22, 2026

Why people look for a Taskade alternative

Taskade does something few task apps attempt: it puts AI agents, docs, mind maps and a real automation builder into one workspace. For a small team that wants agents wrapped around shared projects, that is a lot of value. The reasons people move on tend to be structural rather than about polish.

  • AI credits are the real price. The free plan’s 6,000 credits are one-time, not monthly, and heavy AI use pushes you up tiers. Pro is $10 a month billed annually, and monthly billing costs about twice as much.
  • Email never comes in. Gmail can trigger an automation, but you cannot read, reply to or triage email in the app, and nothing summarizes or scores your inbox.
  • Offline is thin. Mobile apps are read-only offline; desktop and web need a connection.
  • It is a team workspace. A solo user gets a lot of surface area for a simple to-do list, and nothing reorders the list for you.
  • Useful extras are paid. Two-way Google Calendar sync requires an upgraded workspace, and the MCP server is on paid plans only.

If what you liked was the AI and automations but you want them aimed at your own list and your own inbox, the Fluidwave vs Taskade comparison shows where the two overlap.

  1. #1

    Fluidwave

    Our pick

Tasks, email, calendar and contacts with AI, so you always know what to do next.

Best for anyone who liked Taskade’s AI and automations but wanted them pointed at a personal list, plus email. Taskade is a team workspace, so a solo user gets a lot of surface area for a to-do list, and email only enters through automation triggers. Fluidwave gives you a chat assistant, a visual automation builder that covers both email and tasks (including an AI reply step), AI email triage for Gmail, and auto-prioritization that reorders the list itself. It works offline and is free forever with no credit card or AI credit meter. It is Gmail-only for email and macOS-only on desktop today.

    Pros

    • Tasks, Gmail, Google Calendar and Google Contacts live in one app, and they link to each other.
    • Auto-prioritization and the Active filter hide what you cannot work on yet, so the top of the list is always what to do next.
    • AI email triage summarizes, scores and suggests an action for every thread; you confirm with one key.
    • AI time blocking packs tasks into real free time inside your working hours and syncs the sessions to Google Calendar.
    • A visual automation builder covers both email and tasks, including an AI reply step.
    • Works offline, with a Claude MCP connector, voice control and 16 languages.
    • Completely free.

    Cons

    • Email works with Gmail only; there is no Outlook or IMAP support yet.
    • Windows and Linux desktop apps are still coming; macOS, web and mobile are live.
    • Built for individuals and small teams rather than large-scale project portfolios.
    Pricing:
Free Free forever. No subscription, no credit card.
    Best for:
People who want tasks, email, calendar and contacts in one place and want the app to decide what comes next.
  2. A connected workspace for notes, docs, wikis and databases that you shape into your own system.

Best for teams who used Taskade mainly for docs, mind maps and shared projects. Notion covers pages, wikis, notes and databases in one place, with table, board, calendar and timeline views on the same data, and the free plan is unlimited for a single user with no one-time credit allowance to run down. Timeline with dependencies and repeating database templates work on every plan. You build the task system yourself, though: there is no native prioritization, waiting list or habit tracking, database automations need Plus or above, and full Notion AI needs Business at $20 per member per month.

    Pros

    • Pages, wikis, notes and databases in one place, with table, board, calendar and timeline views on the same data.
    • Free plan is unlimited for a single user.
    • Timeline view with dependencies and repeating database templates work on every plan.
    • Official MCP server, a Slack app with a /notion task command, and offline mode on desktop and mobile.
    • Notion AI on Business can search, write and fill properties across the whole workspace.

    Cons

    • Tasks are a database you assemble yourself; there is no native prioritization, waiting list or habit tracking.
    • Notion Mail was discontinued on 22 September 2026, so email is out of the workspace again.
    • Full Notion AI needs Business at $20 per member per month; Free and Plus only get a limited trial.
    • Offline mode caches individual pages for a few days and does not work in the browser.
    Pricing:
From $10/member/month (annual) Full Notion AI needs Business at $20 per member per month; Free and Plus get a limited trial.
    Best for:
People who want to build their own system from pages and databases and keep notes, wikis and tasks in one workspace.
  3. An all-in-one work platform that combines tasks, docs, chat, goals and dashboards.

Best for teams that outgrew Taskade’s project tooling. ClickUp’s Free Forever plan includes unlimited tasks and users, Gantt, dependencies and calendar view, with docs, whiteboards, chat and time tracking built in and an official MCP server plus a deep Slack integration. Trigger-action automations exist but are capped at 100 runs per month on Free, and email is an action, not a trigger, so Taskade’s Gmail-triggered workflows have no direct equivalent. Expect a longer setup, a heavier interface, and a separate Brain add-on at $9 per user per month for AI.

    Pros

    • Free Forever plan includes unlimited tasks and users, Gantt, dependencies and calendar view.
    • ClickUp Calendar syncs two-way with Google Calendar and lets you drag tasks in as time blocks.
    • Fifteen-plus views, custom fields and custom statuses on every list.
    • Docs, whiteboards, chat and time tracking are built in rather than bolted on.
    • Official MCP server and a deep Slack integration.

    Cons

    • The feature surface is enormous, so setup and learning take real time and the interface can feel slow.
    • AI is a separate add-on: Brain costs $9 per user per month on top of a paid plan, and Everything AI costs $28.
    • Email lives inside tasks rather than in an inbox, so you still need a separate mail client.
    • Offline mode only lets you create tasks; existing tasks cannot be edited without a connection.
    Pricing:
From $7/user/month (annual) Brain AI is a separate $9 per user per month add-on on top of any paid plan; Everything AI is $28.
    Best for:
Teams that want one configurable workspace for tasks, docs, chat, whiteboards and dashboards and are willing to set it up.
  4. An AI project and calendar manager that plans your day for you.

Best for people who wanted Taskade’s AI to actually plan their day. Taskade gives tasks due dates but never packs them into free time; Motion auto-schedules every task into your calendar and reshuffles the plan when meetings move or deadlines slip, with dependencies, Kanban boards and team capacity planning alongside. AI Chat, docs and a meeting notetaker share the workspace. It is a premium choice: no free plan, a 7-day trial that needs a card, metered AI credits, and no offline editing. Email stays in a separate app.

    Pros

    • Auto-schedules every task into your calendar and reshuffles the plan when meetings move or deadlines slip.
    • Full project management with dependencies, Kanban boards and team capacity planning.
    • AI Chat, docs and a meeting notetaker live in the same workspace as your tasks.
    • Native apps for macOS, Windows, iPhone and Android.
    • Syncs with Google, Outlook and iCloud calendars.

    Cons

    • No email client and no AI email triage, so your inbox stays in a separate app.
    • No free plan; the 7-day trial needs a card and AI features draw on a metered credit allowance.
    • Needs a connection; there is no offline editing.
    • Gantt charts and timelines are locked to the Business AI tier.
    Pricing:
From $19/month (annual) Pro AI is $29 billed monthly; the 7-day trial needs a card and AI usage is metered in credits.
    Best for:
Teams and busy individuals who want an AI to build their whole day for them and are happy to pay a premium for it.
  5. A cross-platform to-do list known for natural-language capture and a large integration ecosystem.

Best for solo users who want a simple, fast list instead of a team workspace. Todoist’s natural-language quick add parses dates, projects, labels and priorities as you type, where Taskade only parses dates in the date picker. Apps for every platform work offline, which Taskade’s desktop and web apps do not, and there is an official MCP server for Claude at no extra cost. Automations run through Zapier, Make or IFTTT rather than inside the app, nothing prioritizes for you, and the calendar layout, durations and custom reminders need Pro at $5 a month.

    Pros

    • Best-in-class natural-language quick add that parses dates, projects, labels and priorities as you type.
    • Apps for every platform, including Windows, Linux, Apple Watch and Wear OS, all working offline.
    • An official MCP server at ai.todoist.net lets Claude and other agents read and write your tasks.
    • Two-way Google Calendar sync and, on Pro, a calendar layout with task durations for time blocking.
    • A mature ecosystem of templates, filters and integrations built up over more than a decade.

    Cons

    • No email client: email gets in by forwarding or an add-on, so you still triage your inbox in Gmail.
    • Nothing prioritizes or schedules for you; ordering, time slots and planning are manual.
    • The calendar layout, task durations, custom reminders and unlimited Ramble all sit behind Pro.
    • The free plan caps you at five personal projects.
    Pricing:
From $5/month (annual) Pro is $5/month billed annually ($60/year) or $7 month to month; the free plan is limited to five projects.
    Best for:
People who want a fast, reliable to-do list on every device and are happy to keep email and calendar in separate apps.
  6. A cross-platform to-do list that bundles a calendar, habit tracker and Pomodoro timer.

Best for individuals who want habits, a calendar grid and a Pomodoro timer in one cheap app. TickTick adds a built-in habit tracker with streaks, calendar, Kanban and Timeline views, and tasks you can drag onto the calendar, with apps for macOS, Windows, Linux, iOS, Android and the web that all work offline. Premium is $49.99 a year, one of the cheapest paid tiers among major task managers. There is no AI assistant or automation builder inside the app, so Taskade’s agents and automations have no equivalent here, and the free plan caps at nine lists and 99 tasks per list.

    Pros

    • Built-in habit tracker with streaks and statistics, plus a Pomodoro timer and focus stats.
    • Calendar, Kanban and Timeline views on top of the list, with tasks draggable onto the calendar.
    • An official MCP server at mcp.ticktick.com covers tasks and habits and is listed in Claude’s connector directory.
    • One of the cheapest paid tiers among major task managers, with a usable free plan.
    • Apps for macOS, Windows, Linux, iOS, Android and the web, all working offline.

    Cons

    • No email client and no AI triage; email arrives by forwarding and you still work your inbox elsewhere.
    • Nothing prioritizes or schedules for you; ordering and time slots are manual.
    • Day and week calendar grids, calendar subscriptions and the Timeline view are Premium only.
    • The free plan is capped at 9 lists and 99 tasks per list.
    Pricing:
From $49.99/year (about $4.17/month) Premium is US$49.99/year on TickTick’s site; a monthly option and promotional prices are available through the app stores and vary by region.
    Best for:
People who want tasks, habits and a calendar grid in one affordable app and do not need email inside it.

What to look for in a Taskade replacement

Taskade users usually want to keep three things: an AI that can act on tasks, automations that do real work, and views that go beyond a flat list. The trick is finding those without the credit meter and the team-shaped overhead.

  • AI without a meter. Ask whether AI is included, sold as an add-on, or metered. Motion and Taskade meter credits; ClickUp sells Brain separately; Fluidwave includes its assistant, triage and scheduling free. Our AI task manager roundup compares them.
  • Automations that reach email. Taskade’s builder can trigger on Gmail. Most task apps cannot, so check whether email is a trigger, an action, or absent. See the AI workflow automation tool comparison.
  • A list that ranks itself. Taskade’s AI step can tag a priority, but nothing reorders the list. Auto-prioritization that actually resorts by due date, quick wins and importance is worth testing.
  • Real offline support. If you work on planes or trains, read-only offline is not enough.
  • Solo pricing. If you are one person, a per-workspace, per-agent, per-automation cap is a poor fit compared to a free personal tool.

Docs and mind maps are the one area where you may have to accept a step back; only Notion and ClickUp cover them well.

How we ranked these alternatives

Each entry uses the same competitor profile we use everywhere on this site, so pros, cons and prices match what you would read on that tool’s own comparison page. We did not use ratings, user counts or awards.

We ranked by how well each tool covers what a Taskade user is likely to miss, in this order: AI that can manage tasks, automations, views beyond a list, offline support and whether the free plan is usable rather than a one-time allowance. We then noted honestly where each falls short, including Fluidwave, which has no docs, mind maps or video calls and supports Gmail only.

Fluidwave is first because it keeps the parts of Taskade that matter for personal productivity, an AI assistant, a visual automation builder and an MCP connector for Claude, adds email and calendar, and is free forever with no credit meter. Notion and ClickUp follow for teams that need the workspace shape. Motion is here for people who wanted AI planning specifically, and Todoist and TickTick for anyone who realized a simple, fast, offline list was the goal all along.
