    Morning: triage the inbox in ten minutes

    Open Triage and work through the inbox one card at a time. Each thread arrives with a summary, a priority score and a suggested action, so you are confirming rather than reading. Press one key: Reply, Task, Archive, Trash, Unsubscribe or Skip. An investor update becomes a task with the thread attached; a vendor pitch gets archived; a newsletter you never open gets unsubscribed for good. The flow ends at inbox zero with a short session summary, and the tasks you created are already sitting in your list with the email linked.

    Let AI block the day around your meetings

    Switch to the calendar. Your unscheduled tasks sit in a side panel next to the day. Run AI scheduling and Fluidwave packs the prioritized tasks into the free time between meetings, inside your working hours, with breaks before and after events. Long tasks get split into several sessions. Nothing is written to Google Calendar until you press Confirm, and you can drag any session to move or resize it first. Founders with a meeting-heavy day usually confirm two or three blocks and leave the rest unscheduled.

    Work from the top of the list, not the whole list

    With the Active filter on, the list shows only what you can do right now. Future start dates, tasks outside their schedule and anything waiting on someone else are hidden. Auto-prioritization orders the rest by criteria you have ranked, so quick wins come before deep work or the other way around, as you prefer. Use J and K to move, C to complete, and Cmd+K to capture a new task in a sentence like “Send the board deck by Thursday, important, remind me Wednesday.” The date, priority and reminder are parsed for you.

    Hand off, then track what you are waiting on

    When you hand something to a cofounder or contractor, assign it to them in Fluidwave and leave a comment with an @-mention. When you are waiting on an outside reply, set the status to Waiting and pick what it waits on: a call, an email or a message. The task leaves your Active view and shows up in the Waiting view when you go looking. For tasks nobody on the team should own, set the status to Delegate and send it to a human assistant through the marketplace with a budget and a deadline.

    End of day: habits, goals and the weekly review

    The “Today’s habits” strip at the top of the list keeps the small daily commitments visible, such as writing an investor note or reviewing metrics. Habits roll up into goals, and goals into intentions, so the daily checkmark stays connected to why you started. On Friday, open the Waiting and Delegating views, close what came back, and use Gantt view to see whether the dependencies for next week still line up. A weekly review in Fluidwave takes about twenty minutes because the app has been keeping the list honest all week.

Why founders outgrow generic to-do apps

A generic to-do app assumes your work arrives as tasks. For a founder, most of it arrives as email: a term sheet question, a candidate accepting a call, a customer asking for a refund, a lawyer needing a signature. The task app and the inbox are two separate places, so every item gets handled twice, once when you read it and once when you remember to add it to the list.

The second problem is that a flat list treats everything as equal. A founder’s list mixes a two-minute reply with a week-long hiring decision, and deciding which to do first is itself work. That is the decision fatigue Fluidwave is built around.

Fluidwave puts the inbox, the list, the calendar and the address book in the same app so they can link to each other. An email becomes a task in one action and keeps the thread attached. A task becomes a calendar session by dragging it onto the day. A contact links to the tasks about them. Auto-prioritization then orders the list with criteria you control, and the Active filter hides what cannot be done yet. You still make the important calls; the app stops asking you to make the small ones.

Automations founders set up first

The visual automation builder works across both email and tasks, and founders tend to start with a few rules that remove recurring noise:

  • When an email arrives and the sender is a linked investor contact, set the triage bucket to Reply and set priority high, so nothing from the cap table waits behind newsletters.
  • When an email arrives and it is a newsletter that can be unsubscribed, archive it. Then clear the backlog once from the Newsletters view with bulk one-click unsubscribe.
  • When an email arrives with a subject that contains “invoice” or has an attachment from your accountant, convert it to a task on a Finance list with a due date.
  • When a task changes to Waiting, add the Follow-up category so a saved view collects everything you are chasing.
  • When an email arrives from a candidate address, add an AI reply as a draft with instructions like “Thank them and say we will confirm a time within two days.” Drafts wait for you; nothing goes out unread unless you choose Send automatically.

Every rule shows a live preview of the emails or tasks it would match before you save it, and Fluidwave flags rules that contradict each other or overlap with an existing automation. If you prefer to teach by example, move an email to a bucket and write a plain-English note; Fluidwave drafts the rule from it.

Where Fluidwave fits, and where it does not

Fluidwave is built for the founder’s own list and for a small team around them. Tasks can be assigned to team members, discussed in threaded comments with @-mentions, and synced to a Slack channel as a board. Workspaces keep a personal list separate from a company one.

It is not a project portfolio tool. If your company runs dozens of projects across departments with roadmaps, resource planning and custom reporting, a tool like Asana or ClickUp is the better fit for the team, and Fluidwave can still be the founder’s personal command center next to it. Email works with Gmail and Google Workspace only; there is no Outlook or IMAP support. The desktop app is macOS today, with Windows and Linux coming, though the web app and the iPhone and Android apps work everywhere.

On the other side of the ledger, Fluidwave is free forever with no credit card, which matters when every seat is a line item. It works offline and syncs when you are back, connects to Claude through an MCP connector so you can manage tasks from a chat, and stores no email bodies on its servers. Nobody at Fluidwave reads your email.
