For ADHD

Fluidwave for people with ADHD: a task manager that decides what is next so you do not have to

Deciding what to do next is often harder than doing it. Fluidwave orders the list for you, hides what cannot be done yet, turns the inbox into one-key decisions and puts tasks on the calendar automatically, so the structure lives in the app instead of in your head.

Jobs to be done

Stop staring at the list and just start

Today
You open the list, see forty things, and none of them stands out. Twenty minutes later you have reorganized the list and done nothing on it.
With Fluidwave
Auto-prioritization orders the list with criteria you rank once, such as overdue, quick wins, due dates and importance. The Active filter hides tasks with future start dates, tasks outside their schedule and anything waiting on someone else. The top item is the answer to “what now?”

Capture a task before I forget it

Today
A thought arrives, you mean to write it down, something else happens, and it is gone. Capture has to be faster than the distraction.
With Fluidwave
Type or say one sentence: “Call the dentist Tuesday at 10, remind me an hour before.” The date, time and reminder are parsed. Cmd+K opens capture from anywhere, and voice control works when your hands are busy. It lands in Draft or on the list and stays there.

Give every task a time, not just a due date

Today
A due date on a task is not a plan. Without a specific time, the task waits until the deadline turns it into an emergency.
With Fluidwave
AI scheduling places tasks into free time inside your working hours, with breaks before and after events, and splits long tasks into shorter sessions. You confirm the ones you want. The calendar shows a now-line, so the current session is always visible.

Make the inbox a series of single decisions

Today
The inbox is an infinite scroll of small decisions, each one interrupting the last. Opening it costs more energy than most of the emails deserve.
With Fluidwave
AI triage shows one thread at a time with a summary, a priority score and a suggested action. You press one key: Reply, Task, Archive, Trash, Unsubscribe or Skip. Progress shows as “N of M”, and the session ends with an inbox-zero screen and a short summary.

A day with Fluidwave

  1. 1

Morning: one email, one key, done

Do not open the inbox. Open Triage. It shows one email at a time with a summary, a score and a suggestion already made, and asks for one key. There is no scrolling and no deciding which email to open first, so the pull to check “just one more thing” has nowhere to go. Confirm the suggestions you agree with, override the rest, and let anything you cannot deal with become a task. The progress counter and the inbox-zero screen at the end give a clear finish line, which is often the part a plain inbox never provides.

  2. 2

Let the app block the day

Open the calendar and press the AI scheduling button. Fluidwave packs your prioritized tasks into the free time between events, inside the working hours you set, and splits big tasks into shorter sessions with the remaining time shown. Suggestions appear dashed so nothing is real until you confirm. Confirm the first two or three; you can always run it again after lunch. The point is not a perfect plan. It is that the next hour has a name, and the app chose it, which removes the moment where the whole afternoon could slip.

  3. 3

Work from a list that only shows what is possible now

With the Active filter on, the list contains only what you can do right now. Everything with a future start date, everything scheduled for another time and everything waiting on someone else is hidden, not deleted. Auto-prioritization orders what remains, so the top item is the one to do. If quick wins help you build momentum, rank them first; if you need the hard thing done while you have energy, rank importance first. Complete with C. When something feels wrong for now, snooze it for ten minutes, until later this morning or until its next schedule, and it goes away without guilt.

  4. 4

Capture in one sentence, remind on time

When a thought arrives, press Cmd+K and type the sentence, or speak it to the voice assistant. “Return the library books by Friday, remind me Thursday evening” becomes a task with a due date and a reminder already set. Reminders come as presets up to a week ahead, and recurring tasks handle the things that come back every week or month, with a single instance skippable when a week goes sideways. Because capture is fast and always in the same place, the list becomes the external memory the day can lean on.

  5. 5

End of day: habits with streaks, and a short weekly review

The Today’s habits strip at the top of the list shows a few small daily habits with streaks: take medication, drink water, ten minutes of tidying. Streaks show max and average, and archiving a habit is fine when it stops serving you. Habits connect to goals, and goals to intentions, which keeps the small checkmark tied to something you care about. Once a week, take fifteen minutes for a weekly review: clear the Waiting view, drag anything stale into next week, and let AI scheduling fill Monday so the week starts with a plan already made.

Features that matter for this

Auto-prioritization

The app orders your list for you using tunable criteria such as due dates, quick wins, importance and dependencies.

AI scheduling

AI splits tasks into work sessions and packs them into free time inside your working hours.

AI email triage

Every incoming thread gets a summary, a priority score and a suggested action you confirm with one key.

Natural-language task input

Type a sentence like "Pay rent by noon on the last day of each month, remind me a week ahead" and the date, recurrence, priority and reminder are parsed for you.

Time blocking

Drag tasks onto the calendar as work sessions, resize them and split a task across several sessions.

Habits and goals

Track habits with streaks and connect them to goals and longer-term intentions.

Recurring tasks

Daily, weekly, monthly and custom repeat rules with per-instance skip and reschedule.

Waiting-on tracking

A dedicated status for tasks waiting on a reply, call or message so they stop cluttering your active list.

Talk to the app to add and manage tasks hands-free.

Offline-first

Works without a connection and syncs changes when you are back online.

Why generic to-do apps are hard to stick with, and what Fluidwave does differently

A conventional to-do app is a container. It stores what you put in it, shows all of it, and leaves every decision to you: what to do first, when to do it, what to skip. For many people with ADHD, those decisions are the expensive part. The list itself becomes a source of decision fatigue, and the app that was supposed to help ends up abandoned after a few weeks.

Fluidwave takes a different position. It makes the routine decisions for you and lets you override them. Auto-prioritization orders the list with criteria you rank once. The Active filter removes anything that cannot be worked on right now, so the visible list is shorter and every item on it is possible. AI scheduling assigns a time to tasks instead of leaving them as a due date and a hope. Triage turns the inbox into a sequence of single choices with a visible finish line.

None of this is a treatment for anything, and Fluidwave is not a medical product. It is external structure: the ordering, the hiding, the timing and the reminding happen in the app so they do not have to happen in your working memory. What you keep is the part that matters, which is choosing what is important and doing it.

Settings and automations worth changing on day one

A few settings make Fluidwave calmer from the first day:

  • Rank the prioritization criteria once. Many people put quick wins and overdue near the top so momentum comes early; others put importance first so the hard thing happens while energy is high. Both are a drag-and-drop away, and you can revisit it.
  • Turn on the Active filter and leave it on. Give tasks start dates and schedules freely, knowing they will stay hidden until their time.
  • Set working hours and breaks so AI scheduling never fills your evening or packs sessions back to back.
  • Use Draft status as a parking lot. A captured thought does not have to be a commitment yet.
  • Keep the habit strip short: two or three habits with streaks beat a wall of ten.

On the email side, a couple of automations remove the noise permanently. When an email arrives and it is a newsletter that can be unsubscribed, archive it; then bulk-unsubscribe from the Newsletters view with one-click unsubscribe. When an email arrives from a specific person who always needs a reply, set the triage bucket to Reply and star it. When a task changes to Waiting, add a Follow-up category so the chase list builds itself.

If you prefer, the free task prioritizer on this site lets you try the ordering and splitting ideas before signing up.

What Fluidwave is, and what it is not

Fluidwave is a task manager with email, calendar and contacts built in. It is not a therapy tool, a coaching program or a medical device, and it does not claim to treat, diagnose or manage ADHD. What it does is reduce the number of small decisions a day requires and put reminders, timing and structure outside your head.

Some practical limits: email works with Gmail only, and calendar with Google Calendar only. The desktop app is macOS today, with Windows and Linux coming, though the web app installs anywhere and there are iPhone and Android apps. AI features use Anthropic Claude, and every AI action can be undone with Cmd+Z, which matters when the app makes a choice you did not want.

It is free forever, with no credit card and no paid tier, so there is no monthly charge sitting on a card for an app you stopped opening. If you want a focused comparison of structured planners, Sunsama and Motion are the two people most often weigh against Fluidwave, and both are covered honestly on their pages.
