The purpose of this privacy notice is to explain to you in the clearest way possible what information we collect, how we use it, and what rights you have in relation to it. If there are any terms in this privacy notice that you do not agree with, please discontinue use of our Services immediately.

Please read this privacy notice carefully, as it will help you understand what we do with the information that we collect.

Google Services Addendum

See the end of this privacy notice for an addendum if you integrate any Google services into the app. For more details, please refer to the Google Services Addendum section below.

1. What information do we collect?

Information automatically collected

Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use or navigate our Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Product and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies.

2. Will your information be shared with anyone?

We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.

We may process or share your data that we hold based on the following legal basis. More specifically, we may need to process your data or share your personal information in the following situations:

• Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
• Other Users. When you share personal information or otherwise interact with public areas of our Services, such personal information may be viewed by all users and may be publicly made available outside the in perpetuity. If you interact with other users of our Services, other users will be able to view descriptions of your activity, communicate with you within our Services, and view your profile.

3. Do we use cookies and other tracking technologies?

We may use cookies and other tracking technologies to collect and store your information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice.

4. How do we handle your social logins?

If you choose to register or log in to our services using a social media account, we may have access to certain information about you.

Our offers you the ability to register and login using your third-party social media account details (like your Facebook or Twitter logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, profile picture as well as other information you choose to make public on such social media platform.

We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant . Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use and share your personal information, and how you can set your privacy preferences on their sites and apps.

5. Is your information transferred internationally?

We may transfer, store, and process your information in countries other than your own.

Our servers are located in the United States. If you are accessing our from outside, please be aware that your information may be transferred to, stored, and processed by us in our facilities and by those third parties with whom we may share your personal information, in and other countries.

If you are a resident in the European Economic Area (EEA) or United Kingdom (UK), then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. We will however take all necessary measures to protect your personal information in accordance with this privacy notice and applicable law.

6. How long do we keep your information?

We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements).

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

7. Do we collect information from minors?

We do not knowingly collect data from or market to children under 13 years of age.

We do not knowingly solicit data from or market to children under 13 years of age. By using our Services, you represent that you are at least 13 or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of our Services. If we learn that personal information from users less than 13 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 13, please contact us.

8. What are your privacy rights?

You may review, change, or terminate your account at any time.

If you are a resident in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can: Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our Terms of Use and/or comply with applicable legal requirements.

Opting out of email marketing: You can unsubscribe from our marketing email list at any time by clicking on the unsubscribe link in the emails that we send or by contacting us using the details provided below. You will then be removed from the marketing email list — however, we may still communicate with you, for example to send you service-related emails that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes. 9. Controls for do-not-track features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

10. Do California residents have specific privacy rights?

Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.

California Civil Code Section 1798.83, also known as the “Shine The Light” law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.

If you are under 13 years of age, reside in California, and have a registered account with our Services, you have the right to request removal of unwanted data that you publicly post in our Services. To request removal of such data, please contact us using the contact information provided below, and include the email address associated with your account and a statement that you reside in California. We will make sure the data is not publicly displayed in our Services, but please be aware that the data may not be completely or comprehensively removed from all our systems (e.g. backups, etc.).

11. Do we make updates to this notice?

Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this privacy notice from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.

12. How can you review, update, or delete the data we collect from you?

Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, change that information, or delete it in some circumstances. To request to review, update, or delete your personal information, please submit a request emailing us at support@fluidwave.com.

Google Services Addendum

Fluidwave offers three optional Google integrations: Gmail, Google Calendar, and Google Contacts. Each one is connected separately and only when you explicitly choose to connect it. Should you choose to integrate any Google services into your use of the app, our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Summary of the Google scopes we request

Across all three integrations, Fluidwave requests the following Google OAuth scopes and no others. Each scope is requested only when you connect the integration that needs it, and each is explained in detail in the sections below.

• Gmail: gmail.modify and gmail.send
• Google Calendar: calendar.events and calendar.calendarlist.readonly
• Google Contacts: contacts and userinfo.email

Token Security

We securely store and encrypt your Google authentication tokens using AES encryption before they are saved to our database. Tokens are decrypted only on our servers, are never sent to your browser or to other users, and are deleted when you disconnect the integration. Along with the tokens, we store the email address of the Google account you connected so that we can identify it and let you reconnect it later.

Gmail Integration

Connecting Gmail to Fluidwave is optional and happens only when you explicitly connect a Gmail account. Integrating Gmail into Fluidwave allows you to do the following:

• read and organize your inbox from within Fluidwave
• compose new emails and reply to emails, including with attachments
• archive, trash, restore, star, and mark emails as read or unread
• create, edit, and apply Gmail labels
• let the AI triage your inbox by summarizing, prioritizing, and sorting your emails into suggested buckets
• convert emails into tasks and link emails to existing tasks
• create automation rules that archive, label, prioritize, or otherwise organize incoming emails for you
• bulk-unsubscribe from newsletters and mailing lists

How we use the Gmail scopes you grant us

The Gmail integration requests exactly two Google OAuth scopes, and we use them only as follows:

• gmail.send: used solely to (1) send new emails and email replies that you compose in Fluidwave and (2) send unsubscribe request emails on your behalf when you use the unsubscribe feature and a sender only supports unsubscribing by email. We never send an email from your account without an explicit action from you.
• gmail.modify: used to read your messages, threads, and labels so that we can display and keep your inbox in sync, and to apply the changes that you (or automation rules you create) request: archiving, moving to trash and restoring from trash, marking as read or unread, starring, and creating, editing, or applying labels. We never permanently delete your messages (we only ever move them to your Gmail trash) and we never change your Gmail settings.

What we store from Gmail

To provide the features above, we sync and store the following in our database: thread metadata (subject, sender and recipient names and addresses, preview snippet, labels, and read, starred, and inbox state), a plain-text copy of each message body truncated to roughly 20,000 characters (used for AI triage, automations, and reply threading), AI triage results (summary, priority score, and bucket), and unsubscribe information found in email headers. When you connect an account, we sync up to the last 90 days of email and keep it in sync from then on. Full HTML message bodies and attachments are never stored on our servers — they are fetched from Gmail on demand each time you open an email. Attachments you add to an outgoing email are stored temporarily while the email is being sent and are deleted once it has been sent.

AI processing of your email

To power email triage, email-to-task suggestions, and automation rule generation, we share the following fields with Anthropic’s Claude API, our AI provider for these features: the sender’s name and email address, the email subject, the preview snippet, and up to the first 1,500 characters of the latest message body. This data is used only to generate the results shown to you. We do not use your Gmail data to develop, improve, or train generalized artificial intelligence or machine learning models, and we do not permit our AI provider to retain it for that purpose.

Google Calendar Integration

Connecting Google Calendar to Fluidwave is optional and happens only when you explicitly connect a Google account. Integrating Google Calendar into Fluidwave allows you to do the following:

• see the events from the calendars you have selected in Google alongside your tasks in Fluidwave
• schedule work sessions for your tasks, manually or with AI suggestions, around the busy times on your calendars
• write confirmed work sessions to a Google calendar of your choice as events, and update or remove those events when you move or delete the session in Fluidwave

How we use the Google Calendar scopes you grant us

The Google Calendar integration requests exactly two Google OAuth scopes, and we use them only as follows:

• calendar.calendarlist.readonly: used to read the list of calendars on your Google account (their names, colors, time zones, and your access level) so that we can show the calendars you have selected in Google and identify the account you connected. We never create, modify, share, or delete calendars, and we never change your calendar settings.
• calendar.events: used to read the events on your selected calendars so that we can display them and treat them as busy time when scheduling, and to create, update, and delete only the events that Fluidwave itself created for your confirmed work sessions. We never modify or delete events that you or others created, we never invite attendees or send invitations, and when we remove an event we created we use Google’s standard delete, so it remains recoverable from your Google Calendar trash under Google’s normal rules.

What we store from Google Calendar

To provide the features above, we sync and store the following in our database: for each selected calendar, its name, color, time zone, and your access level; and for each event, its title, description (truncated to roughly 2,000 characters), location, start and end times, all-day flag, status, free/busy setting, recurrence parent, and a link to the event in Google Calendar. We do not store attendees, organizers, guest lists, conferencing links, attachments, or reminders. When you connect an account, we sync events from 30 days in the past to 90 days in the future and keep them in sync from then on by checking Google for changes about once a minute. Events Fluidwave creates for your work sessions contain only the task’s name, the session times, and a link back to the task in Fluidwave.

AI processing of your calendar

When you ask Fluidwave to suggest a schedule, we share the following with Anthropic’s Claude API: the names, durations, dates, and dependencies of the tasks you are scheduling, your time zone, break preferences, and scheduling window, and the free time slots between your events, expressed only as start and end times. No Google Calendar event content — no titles, descriptions, locations, or links — is ever sent to an AI provider. We do not use your Google Calendar data to develop, improve, or train generalized artificial intelligence or machine learning models.

Google Contacts Integration

Connecting Google Contacts to Fluidwave is optional and happens only when you explicitly connect a Google account. Integrating Google Contacts into Fluidwave allows you to do the following:

• browse and search the contacts saved in your Google account
• create, edit, and delete contacts in Fluidwave, with your changes written back to Google Contacts
• link contacts to tasks and mention them in task notes
• create email automation rules that act on emails sent to or from your contacts

How we use the Google Contacts scopes you grant us

The Google Contacts integration requests exactly two Google OAuth scopes, and we use them only as follows:

• contacts: used to read the contacts saved in your Google account so that we can display and keep them in sync, and to create, update, and delete contacts in Google when you make those changes in Fluidwave. We only access the contacts you have saved; we do not access “other contacts” that Google infers from your interactions, contact groups or labels, or your organization’s directory. Deleting a contact in Fluidwave deletes it from Google Contacts, and Google does not offer a trash for contacts deleted this way, so the deletion is permanent. Because Fluidwave stores a subset of the fields Google supports, editing a contact in Fluidwave may clear fields on that contact in Google that Fluidwave does not support.
• userinfo.email: used solely to learn the email address of the Google account you connected so that we can label the connection and recognize the same account if you reconnect it. We do not access any other profile information.

What we store from Google Contacts

To provide the features above, we sync and store the following for each contact in your Google account: display, first, and last name, nickname, email addresses, phone numbers, postal addresses, websites, organization and job title, birthday, notes, and the web address of the contact’s photo. We do not store copies of contact photos; your browser loads them directly from Google when they are displayed. When you connect an account, we import all of its saved contacts and keep them in sync from then on by checking Google for changes about once a minute. When you link a contact to a task, the contact’s name is recorded in that task’s activity history.

AI processing of your contacts

We do not send your Google Contacts data to any AI provider, and we do not use it to develop, improve, or train generalized artificial intelligence or machine learning models.

Limited Use disclosure

Fluidwave’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the user-facing features described in this addendum. We do not sell it, we do not use it for advertising, and we do not use it to develop, improve, or train generalized artificial intelligence or machine learning models.

No human at Fluidwave reads your Gmail, Google Calendar, or Google Contacts data, except with your explicit consent, when necessary for security purposes (such as investigating abuse), or to comply with applicable law.

Sharing and workspace visibility

Google integrations are connected to a workspace. If you connect a Gmail, Google Calendar, or Google Contacts account to a workspace that you share with other members, the synced email, calendar, and contact data described above is visible to the members of that workspace, and members can act on it within Fluidwave (for example, by editing a contact, which is then written back to your Google account). Only workspace owners and admins can disconnect an integration. Beyond the AI processing described above, we do not share your Google data with any other third parties. Our product analytics record only the type of action taken (for example, that an email was archived or a contact was created) and never include email content, event content, contact details, or addresses.

Disconnecting and deletion

You can disconnect a Gmail, Google Calendar, or Google Contacts account at any time from within Fluidwave. Disconnecting stops all syncing, removes the synced data from Fluidwave, and deletes your encrypted Google tokens from our systems. Stored email message bodies are deleted immediately. Other synced records are marked as deleted so that your devices can remove their local copies, and may remain in our database in that state until you request their deletion. Your Gmail mailbox, Google calendars, and Google contacts themselves are not affected by disconnecting: events Fluidwave created for your work sessions stay in your Google Calendar, and work sessions in Fluidwave simply lose their link to Google. You can also revoke Fluidwave’s access at any time from your Google account security settings, and you can request deletion of any remaining data by emailing us at support@fluidwave.com.
